Office Support/General Business Administration Internship

About our company:

We are a privately-held insurance brokerage and consulting firm that focuses on the disciplines of Commercial Property and Casualty, Personal Lines, and Employee Benefits insurance coverages. Applicant must have strong interpersonal and administrative skills; we will train. The ideal candidate will create and maintain a pleasant work environment ensuring high levels of organization, effectiveness, and communication. Some experience with office software such as Outlook (e-mail), Microsoft Word, Excel, and PowerPoint, and capable to accurately handle administrative duties is helpful.

Must show ability to interact with and assist all departments within the agency.  Responsible for greeting and accommodating guests, answering phones, handling company inquiries, sorting and distributing mail. You will gain experience with use of an agency management system that is widely used within the insurance industry.

Key Requirements:

Report to work on time; 20-35 hours per week.  Typically 3-4 days per week (no weekends).  Schedule is negotiable

Articulate communication and interpersonal skills

Task-driven individual, highly motivated and resourcefulness in finding information

Some knowledge of basic computer software

Ability to perform tasks under pressure and work in a fast paced environment

Primary Responsibilities:

Operate switchboard, answer phones, and route calls accordingly to staff members.

Act as Administrative Assistant for President/CEO, Benefits, and Property and Casualty department.

Assist with the development of social networking and website maintenance.

Bind presentations in preparation for proposal meetings and create binders.

Perform basic clerical duties such as making copies, scanning, faxing, printing and sending e-mails for President/CEO, and light filing.

Organize office luncheons once a month or as requested.

Collect and distribute mail

Run reports required daily with use of TAM (The Agency Manager).

Ensure reception area and conference room are tidy, set up conference room when expecting visitors, and make coffee.

Greet and accommodate visitors.

All other miscellaneous duties as requested by President/CEO and staff.
